A mobile fuel bowser can serve ten vehicles before the office opens. If each dispense is written on a clipboard, remembered later, or entered into a spreadsheet at the end of a shift, the record is already vulnerable. Knowing how to manage mobile fuelling logs means building accountability into the point of dispense, not asking staff to recreate events after the fuel has left the tank.
For fleet operators, a fuelling log is more than a compliance record. It is the evidence that links product purchased, product held, product dispensed and fuel consumed by each vehicle or asset. When that chain is incomplete, losses can hide in plain sight and month-end reconciliation becomes an exercise in chasing paperwork.
Start with a log that answers the right questions
A useful mobile fuelling log should identify who dispensed, what received the fuel, where it was dispensed, when it happened and how much product left the tank. It should also identify the mobile unit and product type, such as diesel, petrol, DEF or another operating fluid.
The detail matters because mobile fuelling creates more variables than a fixed depot tank. A bowser may visit multiple yards, construction sites or roadside locations in one day. Drivers may fuel lorries, generators, plant and refrigerated units from the same vehicle. A record that only says “500 litres dispensed” cannot explain where that fuel went.
At a minimum, each transaction should capture the authorised user, vehicle or asset ID, date and time, quantity dispensed, product, source tank or bowser, and an accurate meter reading. A stronger approach is to make authorisation and logging part of the same action. The operator uses a smartphone or authorised credential to access the pump, selects or confirms the asset, and the system creates the transaction as dispensing takes place. There is a trade-off. Digital processes require a clear initial set-up: asset lists must be clean, users must be assigned correctly, and operating teams need a straightforward method for handling vehicles with damaged tags or temporary hire equipment. Those are worthwhile controls, not reasons to retain a process that relies on incomplete paper records.
Tie dispensing permissions to people and assets
The most accurate log in the world cannot prevent an unauthorised dispense if anyone can operate the pump. Security begins before fuel flows.
Assign each driver, operator or technician their own access method and give them only the permissions required for their role. A driver may be allowed to fuel assigned fleet vehicles. A maintenance supervisor may need access to additional fluids. A temporary contractor may require a time-limited permission that expires automatically when the work ends.
The same principle applies to assets. Use consistent vehicle and equipment identifiers, and remove retired units from active lists promptly. If a bowser operator can select any asset from a long, outdated list, miscoding becomes more likely and the reporting loses value.

Small differences may arise from temperature variation, meter tolerances or the way a tank is measured. Repeated or material variances deserve attention. The key is to define an acceptable tolerance for each mobile unit and investigate exceptions quickly rather than allowing them to roll into the next reporting period.
A practical daily reconciliation should compare four sources: opening inventory, supplier delivery documentation, authorised transactions and closing inventory. Where they do not agree, record the reason. Was a delivery entered late? Was the wrong asset selected? Is there a meter or tank calibration issue? Or is fuel leaving the system without a valid transaction?
This disciplined approach protects finance teams from unexplained stock adjustments and gives operations teams an early warning of process failures. It also creates a defensible audit trail if a customer, insurer or regulator asks how fuel was controlled on a particular day.
Use exceptions to manage performance, not just investigate loss
Good reporting should do more than list transactions. It should help managers identify activity that does not match normal operating patterns.
Review unusually high fuel quantities, repeated fuelling within a short period, out-of-hours dispensing, transactions against inactive assets, and usage that is out of line with vehicle hours, mileage or route activity. One exception does not always mean misuse. A vehicle may have been reassigned, a generator may have run through an extended outage, or a driver may have covered an additional route. The record gives managers a prompt to ask the right question while the facts are still available.
Over time, these logs support better operational decisions. You can compare consumption by vehicle type, identify equipment that may need maintenance, measure fuel use by site, and plan replenishment before a bowser becomes critically low. Accurate data makes it easier to separate genuine operational demand from avoidable waste.
Set clear ownership for the process
Technology reduces manual work, but it does not remove the need for ownership. Decide who is responsible for maintaining user permissions, reviewing daily variances, checking asset records and approving corrections. Corrections should never overwrite the original transaction without a trace. If an operator selects the wrong lorry or enters an incorrect quantity, the adjustment should show who made it, when it was made and why. That protects honest staff as much as it protects the business.
Training should be short, practical and tied to the working environment. Show operators how to authenticate, select the correct asset, handle an exception and report a fault. Then reinforce the message: no authorisation, no dispense. A process that is simple at the pump is far more likely to be followed in rain, darkness and a busy shift.
